This policy explains what information MED collects, how it is used, and your rights under UK data protection law.

Who we are
MED is a trading name of Mednesia Ltd, a company registered in England and Wales under company number 08300000. Our registered office is W8A Knoll Business Centre, 325–327 Old Shoreham Road, Hove, United Kingdom, BN3 7GS. References to “MED”, “we”, “us” or “our” in this policy refer to Mednesia Ltd trading as MED.

Information we collect
Contact form and direct enquiries
When you use the contact form, we collect the name, email address, enquiry topic and message that you submit. The form sends this information to the MED team by email using Resend, our email-delivery provider. We use it to respond to your enquiry and manage any appropriate follow-up. If you contact us directly by email, we similarly receive the information you choose to include in your message.
Contact-form enquiries are not automatically added to a mailing list and are not used for unrelated marketing without an appropriate lawful basis.
Newsletter sign-up
The newsletter sign-up on the homepage is not yet connected to a mailing-list service. No email addresses submitted through that form are currently stored or transmitted. We will update this policy before a mailing-list service is activated.
Technical and server information
When you visit the MED website, our hosting provider, Vercel, receives standard technical information associated with web requests, which may include your IP address, browser and device information, referring URL, requested pages, and the date and time of the request. This information is processed for purposes such as security, availability and operating the website.
Vercel Analytics
We use Vercel Analytics to understand, in aggregate, how visitors use the Site. It is designed to operate without cookies and to avoid building persistent profiles of individual visitors. We use this information to understand which pages are useful and how the Site is being used. You can read more in Vercel’s Analytics privacy documentation.
Supabase and the past-events archive
The past-events archive is powered by Supabase, which stores historical event data such as titles, dates, venues, descriptions and images. We do not use the archive database to store visitor accounts, contact-form submissions or mailing-list data.
Cookies and similar technologies
The MED website does not currently set non-essential advertising, marketing or behavioural tracking cookies. See our Cookie Policy for more detail.
How we use personal information
Where we receive or process personal information, we may use it to:
- respond to contact-form and direct-email enquiries;
- manage conversations with potential hosts, volunteers, partners and other contacts;
- understand general patterns of website usage through aggregate analytics;
- maintain the security, reliability and availability of the website;
- comply with legal or regulatory obligations where applicable.
We do not sell your personal information or share it with third parties for their own marketing purposes.
Legal basis for processing
Where UK data protection law applies, the lawful basis will depend on the reason we are using the information. In particular, we may rely on:
- Legitimate interests— for example, responding to enquiries, managing MED activities and relationships, and maintaining website security, where those interests are not overridden by your rights.
- Consent— where we ask for your consent, for example if we introduce an email newsletter. You can withdraw consent at any time.
- Legal obligation— where we need to process information to comply with a legal requirement.
How long we keep information
Contact-form enquiries, direct emails and related correspondence are kept only for as long as reasonably needed to deal with the enquiry, maintain an appropriate record of the relationship, or meet legal obligations. Technical and analytics data is retained by our service providers in accordance with their applicable retention arrangements.
Service providers and international transfers
We use third-party service providers to host and operate parts of the Site, including Vercel, Supabase and Resend. Resend processes contact-form information for the purpose of delivering the enquiry by email to the MED team. These providers may process data outside the United Kingdom. Where personal data is transferred internationally, appropriate safeguards are used where required by applicable data protection law.
Security
We take reasonable technical and organisational measures to protect personal information. The MED website is served over HTTPS and we aim to collect only the information reasonably necessary for the services we provide.
Your rights
Depending on the circumstances, UK data protection law may give you rights including the right to:
- be informed about how your personal data is used;
- access the personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request erasure of your data in certain circumstances;
- request restriction of processing in certain circumstances;
- object to processing in certain circumstances;
- receive or transfer certain data in a portable format where the right applies;
- withdraw consent where processing is based on consent;
- raise concerns about certain automated decision-making and profiling.
MED does not currently use personal data to make solely automated decisions that have legal or similarly significant effects on individuals.

Children and young people
MED events and public content may be relevant to people of different ages, including young people. The website does not currently provide accounts or online services intended to collect personal information directly from children under 13. If we introduce features aimed at children or collect their personal information, we will review the appropriate consent and safeguarding requirements before doing so.
External websites
The Site links to third-party organisers, venues and other websites. MED does not control how those organisations collect or use personal information. You should review their own privacy information when you visit an external site or register for an event with them.
Changes to this policy
We may update this privacy policy as the Site and MED’s activities develop. In particular, we will review it before enabling features such as an email mailing list. When material changes are made, we will update the “Last updated” date above.
